Greenhouse "unsuccessful resume parse" error: what it means and how to fix it

Quick answer

"Unsuccessful resume parse" means Greenhouse could not read structured text (name, contact details, job titles, dates) from the file you uploaded. It is not a rejection, and your application can usually still be submitted. To fix it, upload a text-based PDF or .docx with a single-column layout, contact details in the body (not the header) and standard fonts, then check every autofilled field before you submit.

If you have applied through a Greenhouse job board and seen "unsuccessful resume parse", don't panic. It isn't a rejection, and a recruiter has not read and dismissed your CV. It simply means Greenhouse could not pull structured information, such as your name, contact details, job titles and dates, out of the file you uploaded. Your application can usually still go through, but the autofilled fields may be empty or wrong.

Why it happens

Parsers read text in a predictable order. They struggle when a CV:

  • is a scanned PDF or an image, so there is no selectable text at all;
  • uses two or three columns, text boxes or tables to lay out content;
  • puts contact details in the document header or footer;
  • uses icons instead of words for phone, email or LinkedIn;
  • has unusual fonts, ligatures or symbols that turn into garbled characters;
  • is password-protected or saved in an older or uncommon format.

Quick fix checklist

  1. Open your PDF and try to highlight the text. If you can't, export it again from Word or Google Docs instead of scanning or printing to PDF.
  2. Move to a single-column layout. Keep headings plain: Experience, Education, Skills.
  3. Put your name, email and phone number in the body of the page, not the header.
  4. Replace icons with plain labels, for example "Email:".
  5. Use a standard font such as Arial, Calibri or Georgia.
  6. Upload again. If Greenhouse offers a .docx option and your PDF still fails, try that.

Check the autofilled fields

Even when parsing works, read every field Greenhouse fills in before you submit. Dates and job titles are the most common things to land in the wrong box. Fixing them by hand takes a minute and means the recruiter sees clean data.

Parsing is only step one

A file that parses cleanly can still be a weak match for the role. Once Greenhouse can read your CV, the next question is whether it contains the skills and terms the job description asks for.
